JOB DESCRIPTION

The Administrative Assistant is responsible for overseeing and supporting the daily administrative operations of Apex Automation Ltd. This role ensures efficient office management, coordinates cross-functional activities, and provides high-level administrative support to teams and leadership. The Administrative Assistant is highly organized, detail-oriented, and manages multiple tasks while maintaining a high level of professionalism. 


KEY RESPONSIBILITIES

Reception & General Office Management

· Oversee the reception desk, including welcoming and assisting visitors as needed. 

· Maintain overall office equipment and supplies by tracking inventory, ordering new supplies and ensuring all items are in functioning order. 

· Assist with shipping and receiving logistics including incoming mail and package deliveries. 

· Maintain a clean and organized office environment with effective filing systems and records management. 

· Manage correspondence, including emails, memos, and reports, ensuring timely distribution and response. 

· Coordinate with building management to maintain employee access and enforce building safety regulations. 

· Serve as the primary point of contact for administrative inquiries and support. 

· Coordinate meetings, schedules, and travel arrangements for staff. 

· Maintain records, databases, and documentation to ensure compliance with company policies.


Logistics & Asset Management

· Coordinate internal purchase orders from accounting and request management approval of payments.  

· Perform duties related to the renewal and issuance of required licenses and permits. 

· Manage insurance policy renewals.  

· Support the management of the physical assets of the organization, including buildings, equipment, and inventory.  

· Assist with sourcing vendors, including initial applications and maintenance of a directory of service providers.  


Transport & Travel Management

· Execute all travel arrangements, including flight bookings and accommodation for staff on assigned projects or on a shift rotation.  

· Oversee deployment of company fleet vehicles, ensuring maintenance schedules and allocation adherence.  

· Coordinate with Account Managers to manage and plan the logistics of mobilizing personnel and project materials, including planning transportation, coordinating deliveries, assisting with inventory management. 


Health & Safety Management

· Organize ongoing safety inspections.  

· Maintaining and updating employees’ emergency contact information.  

· Perform routine safety committee duties.  

· Conduct mandatory safety reporting.  

· Monitor staff safety training and and schedule mandatory safety training, site orientations, and drug screening for site access.  


QUALIFICATIONS

· 1-3 years of experience in administrative support, office coordination, or a similar role. 

· Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software. 

· Excellent communication and interpersonal skills. 

· High attention to detail and strong organizational skills. 

· Ability to handle confidential information with discretion and professionalism. 

· Problem-solving mindset with the ability to multitask and prioritize responsibilities.
